Alumni Connect: Building Bridges Beyond Graduation Through Mobile App

Abstract: In this paper, a centralized, institution-independent system for managing alumni is proposed with an emphasis on alumni networks across organizations. The institution's and organizations vertical mentorship programs serve as the system's primary source of motivation. The method facilitates networking between professionals and students from the institutions. The professionals graduated by classifying as alumni are not only those who have graduated but also those who are currently employed by the institution or organization. The primary goal of the project is to create a mobile application system that can handle a college's alumni data and make it easily accessible to alumni, administrators, and students. Maintaining ties with their respective institutions will be of interest to the alumni as well. Students can share department technology activities with alumni, and alumni can contact with students about job opportunities. The administrator's authorization is the soleway for the student and the alum to interact. Its a system that can handle a college's alumni data and offer convenient system access. The institutes/organizations reap a host of advantages in addition to their alumni. The alumni are able to self- update their information on their employment status, residence, and other details. They are able to stay in touch by skillfully navigating through the glimpses of campus happenings.

  1. INTRODUCTION

    The alumni network is the most valuable resource available to any university. In the actual world, alumni are the ones who represent the university. For the students who have graduated from the college/university, an alumni mobile application has been developed. This application enables former students to utilize the resources and benefits that an organization provides after graduation. Because of their enormous ability to help students and the institution alike, the alumni network is becoming more and more significant to the growth of the institution. Being a part of an alumni association offers several advantages to colleges and institutions. Keeping someone updated on activities planned and taking place with in the institutions are just a few advantages. An additional advantage is the ease with which information about a former pupil can be obtained and the relative ease with which other alumni members can be located.

  2. OBJECTIVE

    1. To build a system that will be able to manage alumni data of a college and provide easy access to the same.

    2. To reduce manual work.

    3. To provide user-friendly interface.

    4. Quick data retrieval and large amount of data storing.

    5. To allow former and new students of a university or college to communicate with each other. This allows the students to know about each other and their current activities.

    6. An initiative to celebrate past, engage in the present and shape the future through the power of the alumni community.

  3. LITERATURESURVEY

    Prof.Aparna Bagde et al. [1] evaluates the âCampus Connectâ as a groundbreaking solution that not only strengthens the bond between alumni and their institutions but also paves the way for extensive networking opportunities. The significant gap between students occurs due to lack of seamless flow of knowledge and insights within the campus community. This proposed system of Campus connects sets to have a comprehensive platform meticulously designed to promote meaningful connections and objectives such as to have networking opportunities, recommendation system, query time, resources haring and alumni engagement.

    Mr.T.R.Shindeetal.[2]had proposed the fact that the existing system of maintaining the alumni connect through the excel sheets could be enhanced by establishing a user friendly alumni website and mobile applications which helps to flourish the beautiful bond between the students, alumni, faculty and the management. The proposed system will be on-lines it can be accessed by alumni anywhere. It will enable quick and easy communication.

    Imran Hossain et al. [3] had proposed the ideas of using various software tools such as app my site,clickup etc.to easily deploy a website into a mobile application for both android and IOS users. App-my-site serves to be a best fit tool (No code mobile app builder) that supports various customizing and optimizing features that enables the users to easily view, track and Manage all the activities in one panel.

    It helps us to push notifications, support live streaming and facilitate Multi user collaboration. Arithra Mukherjee et al. [4] had proposed that the distinguished features to be likely added to an alumni website/application for effective connection such as wall of fame, query features, transcript management, gallery, podcasts by alumni stars, meet up timelines, campus visit, campus diary, live streaming, job recommendation system. These features reflect to strengthen the bond between alumni- students-management. Prajkta Dodake et al. [5] had proposed regards the distinguished modules to be added in a website/application contributing to the interactive features. The 3 main modules are Admin module, Alumni module and Faculty module. The admin module is able to operate and view all the data from behind. The alumni module is able to view all the events happening at the college and apply for any recommendations. The faculty module is able to view things happening at the college and among alumni.

    Anne C Campbell et al. [6] had proposed that the alumni profiles section breathes life into the platform, spotlighting accomplished graduates across diverse fields, emphasizing the broad spectrum of achievements. Past events and activities unfold in vivid detail, showcasing the association's dynamic engagement and the resonating impact of reunions and initiatives. Navigating further, the website weaves compelling narratives of alumni success stories, complemented by testimonials that offer first- hand reflections on the transformative power of their educational journey. The connectivity initiatives section unfolds with opportunities for networking, mentorship, and career development, fostering a supportive ecosystem for alumni growth. Delving into philanthropy, the literature unveils avenues for alumni to contribute and underscores the meaningful impact of past fundraising campaigns.

    SheilaPutri et al. [7]had proposed the fact that the aim of this alumni information system project is to construct a system that will be able to store the information of an institution, college, schools. Dealing with huge data physically is a complex issue that may lead to datalost. Connections with alumnis can be used to gain orientations and vision to the students. This information system will provide the list of all students based on them passed-out year and branch that will convert the student module to alumni module. The students of the college access the details of the alumni of their college and construct them log-in option in this infrmation system. This system also has an option of updating the details of the alumni like current working status and their position.

    This resolution of the system is to deliver an easy contact to the students and make them comfortable by using this system. Sustaining and handling the details of the students and approaching them is an important mission, this alumni information system makes the things easier to approach the alumnis and consult them.

    Eileen Mona et al. [8] had proposed that until now, alumni of the National University(UNAS) integrate and communicate only through social networks such as WhatsApp and Facebook, so with this web-based internet facility, alumni can utilize and facilitate communication between alumni. This web-based social network is designed not only to connect alumni from the National University (UNAS) but can establish relationships between National University lecturers (UNAS) and can exchange information in various types such as job vacancies, training, professional certification, campus environment activities and information others that are useful for alumni and lecturers of the National University (UNAS).This site was created by first starting the system design using UML then proceed with the creation of a user interface and using the PHP and MySQL programming languages as database management. This site still has some Short comings both in terms of features and security.

    Baibavbishtaetal.[9]had proposed that alumni tracking is a difficult task for any institution has been running for a long time. The existing information about the alumni of the department is unmanaged and out of date. Its a web- based system to integrate data of alumni into a well- managed database, and to act as a portal where alumni can update their current status and view online alumni year books and their work aims to make the task of alumni tracking easier and simpler for the department. The web-based portal has been accessed by many alumni of the department starting from the earliest batches to update their information and see the whereabouts of others.

    M.Babu et al. [10] had proposed that the objective of Alumni portal application is to allow old and new students of the college to communicate with each other. This allows students to know about each other and their current activities. This portal highlights the feature of communication, which will enable the current students to have interaction with the alumni of the college for getting various updates on current industry trends, Internship opportunity, sponsored projects and various referral opening in the corporate world.

  4. STRUCTUREOFTHEPROJECT

    M. Existing system:

    Numerous Excel sheets, each authored by a different user, make up the current existing system. An alumni association may compile these forms and distribute them to all alums, albeit this practice might not happen often. Exchangeable email addresses can result in an overabundance of spam emails.

    MI.Proposedsystem:

    The proposed method will be available online as well as offline for both android and IOS mobile users so that graduates can make use it for many location. It will make communication simple and rapid. It will be the user's responsibility to keep their own information updated. Additionally, each user will be able to choose to keep their privacy intact and get to know about all the events

    and happenings at the college.

  5. MODULEDESCRIPTION

M. Login Module:

The system provides security features through username and password matching where only authorized user can access the system with different authorization level. It includes admin, alumni and faculty.

  1. Admin:

    The application's admin is a super user. The administrative functions are like confirming alumni information, changing passwords, adding or removing event updates from the college, planning alumni gatherings in various cities, making arrangements for current year students to attend training sessions and uploading pictures and information about alumni interactions to the gallery page.

  2. Alumni:

    This module provides accurate information to assist alumni with system registration. After registering, information will be forwarded to the administrator for approval. Alumni a real so able to change the password using this module. Alumni can quickly update their profiles and make use of the application's perks after completing the registration process.

  3. Faculty:

This module provides accurate information to assist faculties with system registration. After registering, information will be forwarded to the administrator for approval. Staff members can also change the password with this module. Staff members can change their profile when registration is completed. They have the ability to browse the page's details as if they were a third party.

  1. Profile Registration:

    This allows all the faculty and alumni to register and login using concern credentials.

  2. Raise Fund Module:

    This Module allows alumni to raise funds for the organizations. Alumni donation can be done using a credit card or debit card. Once payment is done, the screenshots can be uploaded to get verified and acknowledged.

  3. Feedback-module:

    This module allows users to post feedback or review for particular queries that they have and get done with their work.

  4. Training Module:

    In this module, alumni will interact with their juniors virtually during training sessions with the allotted topics. Training sessions are updated by admin.

  5. Alumni Gallery:

    This module allows all the users to maintain and view the photo gallery of recent alumni meets. It includes images of various alumni events and gatherings.

  6. Regional users:

    This module display's groups of alumni from different regions. This module information will be added by the admin.

  7. Alumni office bearers:

    This module contains all of the regional units and the alumni association's office bearers, along with their personal data that is editable by the administrator and visible to users.

  8. Search:

    This module makes it easy for college employees and alumni to look for various office bearers and alumni members. This is secure since only users who have been authorized can search using parameters like location, users position and region.

  9. User:

It allows user to view gallery, jobs and any event notifications or details that are posted by alumni and admin.

CONCLUSION

Building and utilizing alumni resources effectively is becoming a top priority for a growing number of educational institutions. This research combines the difficulties of alumni administration in the "Internet" era to offer an integrated intelligent alumni information management system that applies three advances. First, in an effort to strengthen ties between graduates, professors, and students and to promote the merger of business, academia, and research, a dedicated social media platform for alumni was developed. After that, the system optimizes the alumni management process, expands the channels for gathering alumni information, and successfully gathers mass alumni data based on "multi- platform" technology for data acquisition and storage. The proposed system formulates many merits such as mentoing features from alumni to students, feature of obtaining letter of recommendation/ transcript application, campus funding and so on. The system can be further integrated with a unique identifier and job search feature. A job search function and a unique identity can be added to the system to further integrate it.
